The Fire Island Pines Property Owners Association ("FIPPOA," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through fippoa.org (the "Site"), how we use it, and the choices you have.
By using the Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Site.
1. Information We Collect
We collect information in the following ways:
A. Information You Provide Directly
Contact and membership forms: When you submit a form on our Site (hosted via Formstack), we collect the information you enter — which may include your name, property address, email address, phone number, and the content of your message or request.
Dues and donation payments: When you pay membership dues or make a donation through the Site, we (or our payment processor, see Section 3) collect your name, billing address, email address, and payment information necessary to process the transaction.
Email newsletter signup: When you subscribe to our newsletter, we collect your name and email address.
B. Information Collected Automatically
We use cookies and similar technologies to understand how visitors use our Site, including pages visited, time on site, and browser/device type.
We also use analytics that Squarespace enables by default. To see Squarespace's own data collection practices (see Section 3).
2. How We Use Your Information
We use the information we collect to:
Process and manage your FIPPOA membership and dues payments
Process donations
Respond to inquiries submitted through contact forms
Send you our email newsletter and community communications (only if you've opted in)
Maintain accurate property owner and community records
Improve the Site and our communications
Comply with legal and financial recordkeeping obligations
We do not sell your personal information.
3. Third-Party Service Providers
We use the following third-party services to operate the Site and process the information above. Each provider has its own privacy policy governing how it handles your data:

These providers process information on our behalf and are contractually or by policy restricted from using your data for their own independent purposes, except as needed to provide their service to us.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. Donations Through The Pines Foundation
Donations made through the Site are processed by or benefit The Pines Foundation (TPF), a 501(c)(3), a separate nonprofit entity from FIPPOA, which is a 501(c)(4). Data data is shared between both entities through NEON CRM.
5. How We Share Your Information
We do not share your personal information with third parties except:
With the service providers listed in Section 3, solely to operate the Site and process your requests
If required by law, subpoena, or legal process
To protect the rights, property, or safety of FIPPOA, our members, or the public
With your consent
6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this policy, including maintaining membership records, satisfying financial recordkeeping and tax obligations, and resolving disputes.
7. Your Choices
Newsletter: You may unsubscribe at any time using the link at the bottom of any email we send, or by contacting us directly.
Access/correction: You may request access to, correction of, or deletion of your personal information by contacting us at 311@fippoa.org.
8. Children's Privacy
The Site is not directed at children under 13, and we do not knowingly collect personal information from children under 13.
9. Security
We use reasonable administrative and technical safeguards to protect your information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The "Effective Date" above reflects the most recent revision. Continued use of the Site after changes take effect constitutes acceptance of the revised policy.
